Q: We've registered our event idea with the V Foundation. Now what do we do?
A: Use this time to personalize your event page and get familiar with the toolkit in your TeamRaiser Participant Center. The toolkit is full of resources to help you start planning your event.
Q: Where can we find our event page?
A: Your event page can be found through your Participant Center.
Q: Do we need to establish our own 501c3 to organize a fundraising event?
A: No, it is not necessary to establish your own 501c3 in order to raise money and host a fundraising event to benefit the V Foundation.
Q: Do we need to create a separate bank account for our event?
A: No, it is not necessary to create a separate bank account for your event. Some event organizers choose to set up a new bank account if they are hosting a large event annually, but it is not necessary. We recommend that you speak to your chapter advisors before making this decision.
Q: Does the V Foundation have a Tax ID number our chapter can use?
A: Because the V Foundation is a beneficiary of your event and has no direct involvement with the running of the event, we cannot allow the use of our Tax ID number. However, we will gladly provide a letter of support validating your event, which will serve the purpose of a Tax ID number in most cases.
Q: What will the money our chapter raises be used for?
A: Funds raised at your event will support the nation's best cancer research! We award grants through a highly competitive process led by a prestigious Scientific Advisory Committee. The committee ensures only projects with the most potential for success are funded. Each grant has been directed to physicians and scientists who have pioneered techniques to make breakthroughs in cancer research. By investing in these extraordinary people and their projects, we continue to make great strides in unraveling the mysteries of cancer.
Q: Can our chapter use the V Foundation logo?
A: Yes! We have two supporter logos you can choose from and access in your toolkit. In the toolkit, you will also find a style guide showing our colors, fonts and general guidelines for the use of the logos.
Q: Will the V Foundation provide promotional materials and/or giveaways for my event?
A: We can provide V Foundation educational materials for your event, but we cannot provide giveaways. In your toolkit, you will find poster templates and co-branded letterhead. To help cover the printing expenses of these materials, we recommend you create a sponsorship level for this category.
Q: Will the V Foundation help promote my event?
A: Because the V Foundation is the beneficiary of your event and has no direct involvement with running the event, we are not able to help you promote your event.
Q: Will a representative from the V Foundation attend our event?
A: Because of the large demand on staff time, we are unable to have a representative from the V Foundation attend fundraising events. However, staff at the V Foundation office can provide advice on all aspects of the fundraising process. Email us at any time, email@example.com.
Q: Will the V Foundation help us get a permit for the event if we need one?
A: Because the V Foundation is solely a beneficiary of your event, we are unable to help you secure a permit for your event. We recommend that you reach out to your college or university to see how they can help.
Q: Do we need insurance for our event?
A: Please check with your venue and review local ordinances to determine whether or not you need insurance for your event. If your event will be on campus, reach out to your school to ask what events require insurance.
Q: Will the V Foundation provide insurance for our event?
A: Because the V Foundation is solely a beneficiary of your event, we cannot provide event insurance. If applicable, we recommend you reach out to your college or university to see if they can help.
Q: Are donations made to the event tax-deductible?
A: All straight donations made payable directly to the V Foundation are tax-deductible. If tickets or auction items are purchased, the tax-deductible portion of the contribution is limited to the excess of money given over the fair market value of the goods or services received. Please complete the forms in the toolkit for all tickets and/or auction item purchases. The same fair market value rules apply for sponsorships. Q: Can we give out tax receipts?
A: The V Foundation issues IRS-compliant charitable tax acknowledgements for all donations made payable directly to the V Foundation along with detailed contact information for the donor. Please do not create any kind of tax acknowledgements.
Q: Will the V Foundaiton pay for our chapter's expenses or reimburse us for our costs?
A: In order to best support cancer research, the V Foundation does not provide funding or reimbursement for expenses. We encourage your chapter to find local sponsors to help underwrite the costs of your event. Sponsors can also donate items in-kind. The in-kind donation form is located in your toolkit. This will allow the V Foundation to provide tax-acknowledgement to the donor of the in-kind items.
Q: Can the chapter pay for event expenses out of donations that have been made to the event?
A: Only ticketing/registration fees, sponsorships, and other event revenue can be used to cover expenses. Expenses cannot be deducted from donations. Please know that we can only provide tax acknowledgements for funds received here at the V Foundation. If the number raised before expenses is higher than what is received at the V Foundation, we will not be able to provide any tax acknowledgements. This is why it is really helpful to receive sponsors and in-kind donations. V Foundation staff are available at email@example.com to clarify further.
Q: Where do we send the event proceeds?
A: Within 30 days of your event, please mail your checks with the Delta Chi Offline Donation form, and other forms as needed to:
